Booking Terms

• Submitting a booking request does not guarantee that a booking has been made. GoSpA GoSport team member will be in contact to finalise your booking

• Once a provisional booking has been made, payment must be made in full within 28 days to confirm the booking

• The minimum notice required request a booking is 14 days, however, please note that the team will endeavour to support short notice bookings where possible. 

 

Weather Conditions

• The climbing wall can continue to operate in winds of up to 25mph. If winds are observed above this speed, the activity must cease and the wall will be lowered to a stowed position

• If a thunderstorm occurs in the vicinity of the site, the activity must cease with all persons required to move away from the structure until the storm has passed. A minimum of 25 minutes must pass following the last instance of thunder or lighting for the  activity to restart.

 

​Access and Operating Area Requirements

• It is the responsibility of the hirer to ensure that adequate access and operating areas are available for the wall. 

• Access gateways/barriers must be no narrower than 3m and any gates must be a minimum of 3m high. 

• Access roads must be suitable for a standard vehicle and heavy trailer, such as tarmac roads, gravel tracks a or firm grass. The access route must not pass any boggy or sandy areas. 

• The mobile climbing wall can be set up on any flat hard-standing or firm grass area. 

• We are unable to pitch on uneven, boggy or sloped ground. 

• There must be no overhead obstructions below 10m above the area to be used for climbing and power cables are not to be within 15m of the wall. 

• The mobile wall will include several meters of ground spikes and rolled up plastic barrier fencing to create an exclusion zone. If any additional shelter or barriers/crowd control equipment is required by the hirer or site/event rules, it is the responsibility of the hirer to provide this. 

 

Participant Requirements

• The minimum age for participants is 4 years old.

• The maximum wight allowance for any one participant is 125kg

• Participants must wear appropriate clothing at all times, in particular no open toed shoes/flip flops can be worn when climbing. We encourage jewellery to. be removed prior to climbing and phones/expensive personal items to be left with someone on the ground. 

 

Self led activities and Instructor requirements

• If using GoSport staff , it is a requirement that they are provided with at least one 30 minute break during a full day session for lunch, as well as at least two additional comfort breaks of a minimum of 5 minutes during the booking. 

• Anyone intending to self-lead the activity must hold a valid climbing qualification or a Scout Association Permit which as a minimum should be for top rope climbing. 

• Permits/Qualifications bust be in date at the time of the activity taking place with Scout Volunteers expected to have all mandatory training requirements in place.

Use of Equipment

• After delivery of the wall and climbing equipment to site, the hirer is responsible for all security. 

• If equipment is to be left overnight, there must be adequate supervision provided. 

• Any health and safety issues arising while equipment is unattended are the responsibility of the hirers. This includes ensuring that equipment is not used or tampered with during instructor breaks. 

• Unauthorised interference with any safety equipment, provided for the safe operation of the activity is prohibited. 

• Any damaged found to have been caused deliberately or due to neglect of the hirer will be charged in full. 

 

Cancellation Terms

• For cancellations made by the hirer:

  • Where bookings are cancelled with more than 3 months notice, the full fee will be refundable.​

  • For bookings cancelled within 6 weeks, an admin fee of 25% will be retained .

  • Should you cancel within 3 weeks, the full booking fee will be retained.

  • Where a booking cannot go ahead due to failure by the hirer to provide accurate information, a suitable location or adequate access which means that a booking cannot go ahead on the day, the full fee will be chargeable/ 

  • Where the activity cannot take place for any period of time due to inclement weather as detailed above, 50% of the fee remains payable. 

  • In the event where it is necessary for GoSport to cancel the booking due to unforeseen circumstances and where a cancellation is entirely the responsibility of GoSport, a full refund will be provided.
